This policy explains what personal data LocumHere handles, why we handle it and the choices available to you.

About this policy

This Privacy Policy explains how LocumHere collects, uses, discloses, stores and protects personal data when you visit our website, create an account or use our platform.

LocumHere is a platform for healthcare professionals and healthcare organisations to discover and connect with one another in relation to locum opportunities. This policy applies to personal data handled by LocumHere as the operator of the platform. Healthcare organisations may separately collect and process personal data for their own recruitment, credentialing and engagement purposes, subject to their own privacy practices.

Our data protection responsibilities

LocumHere is committed to handling personal data responsibly throughout its lifecycle.

  • Collect personal data responsibly: We notify individuals of the purposes for which personal data is collected, used or disclosed, obtain consent where required, and use personal data only for the specified or otherwise permitted purposes.
  • Care for personal data: We take reasonable steps to keep personal data accurate and complete, protect it with appropriate security measures, cease retaining or anonymise it when it is no longer needed, and apply safeguards to overseas transfers so that transferred data receives protection comparable to that under Singapore law.
  • Facilitate individuals’ protections: We support valid access and correction requests, assess and notify affected individuals and the relevant authority of notifiable data breaches, and process withdrawals of consent in accordance with applicable law.

Personal data we collect

Depending on how you use LocumHere, we may collect the following categories of personal data:

  • Account and contact details, such as your name, email address, telephone number, profile photograph, login information and, when you connect Telegram alerts, your Telegram username and private chat identifier.
  • Professional information, such as your profession, qualifications, work history, areas of practice, professional registration details, practising certificate information, availability and uploaded documents.
  • Organisation information, such as an organisation's name, address, contact persons, business details and information provided to administer an organisation account.
  • Opportunity and application information, such as listings, proposed rates, dates, locations, applications, saved opportunities, availability, responses and engagement status.
  • Support information and correspondence sent directly to LocumHere. LocumHere does not collect or store the contents of conversations conducted through Telegram.
  • Technical and usage information, such as IP address, browser and device information, session data, log data, pages visited and interactions with the platform.
  • Information received through third-party sign-in services when you choose to use them, subject to the permissions you grant to that provider.

How we collect personal data

We collect personal data directly from you when you register, complete a profile, create or respond to a listing, upload a document, contact us or otherwise use the platform.

We may also receive personal data from your organisation, an authorised account administrator, a third-party sign-in provider, service providers supporting the platform, or other users who interact with you through LocumHere. We may collect technical information automatically through cookies and similar technologies.

If you provide personal data about another person, you confirm that you are authorised to do so and that you have informed them of the relevant purposes described in this policy.

How we use personal data

We may collect, use and disclose personal data for purposes including:

  • creating, authenticating and administering user accounts;
  • operating the platform and providing requested features;
  • displaying professional profiles, organisation details and opportunity listings to relevant users;
  • enabling users to publish, search, save, apply for and manage locum opportunities;
  • allowing eligible users to open an external Telegram conversation without LocumHere collecting or storing its contents;
  • supporting document review and account or profile checks, where such features are offered;
  • responding to enquiries, requests, feedback and complaints;
  • maintaining platform security, preventing fraud, misuse and unauthorised access, and enforcing our Terms of Use;
  • monitoring performance, troubleshooting issues and improving the platform;
  • complying with legal and regulatory obligations and responding to lawful requests; and
  • sending service-related notices and, where permitted or consented to, information about relevant platform updates.

Professional credentials and sensitive information

LocumHere may allow healthcare professionals to provide professional registration details, practising certificate information and supporting documents. We use this information only for relevant platform, account, application, safety and compliance purposes.

The collection or display of credential information does not mean that LocumHere has independently verified, approved or endorsed a user unless we expressly state otherwise. Healthcare professionals remain responsible for keeping their information current, and healthcare organisations remain responsible for conducting the checks required before any engagement.

LocumHere is not intended for storing patient records. You must not upload patient records or patient-identifying information unless LocumHere has expressly provided a secure feature for that specific purpose and given appropriate instructions.

When we disclose personal data

We may disclose personal data only where reasonably necessary for the purposes described in this policy, including to:

  • other users, where you publish a profile or listing, submit an application, communicate through the platform or otherwise choose to share information;
  • authorised administrators of an organisation account;
  • service providers that support hosting, authentication, data storage, communications, analytics, security, customer support and other platform operations;
  • professional advisers, insurers, auditors and potential transaction advisers where reasonably necessary;
  • government bodies, regulators, law-enforcement agencies or other parties where required or permitted by law; and
  • another entity in connection with a merger, acquisition, financing, reorganisation or transfer of all or part of the platform, subject to appropriate safeguards.

We do not sell personal data. Where a service provider processes personal data for us, we require it to handle that data only for authorised purposes and with appropriate protection.

Profile and application visibility

Information included in an opportunity listing may be visible to healthcare professionals using the platform. Information in a healthcare professional's profile or application may be made available to healthcare organisations for relevant opportunities, according to the platform's features and privacy settings.

Telegram usernames are private by default. Where a user enables Telegram contact sharing, the username is made available only to an eligible healthcare professional or healthcare organisation connected through a pending or confirmed application, and only while that relationship remains active.

Before adding information to a profile, listing or application, consider whether it is necessary for the relevant opportunity. Do not publish private contact information or sensitive documents in fields intended to be publicly or broadly visible.

Third-party services

LocumHere may use third-party services for functions such as sign-in, hosting, communications, analytics and payments. Those providers may process personal data on our behalf or, in some circumstances, under their own privacy policies.

If you choose to sign in using a third-party account, that provider may share information with us based on your settings and permissions. LocumHere does not receive your password for that third-party account.

Links to external websites or services are provided for convenience. Their privacy practices are governed by their own policies, not this policy.

When you choose a Telegram contact link, LocumHere may prepare a draft containing relevant slot details and redirect you to Telegram. You decide whether to send or edit that draft. The resulting conversation takes place in Telegram and is not collected or stored by LocumHere.

When you connect the LocumHere Telegram bot, we use your Telegram chat identifier only to deliver the operational alerts you have requested. Other users cannot see this identifier, and it is separate from any username you choose to share for direct contact.

Overseas transfers

Some of our service providers or their systems may be located outside Singapore. Where personal data is transferred outside Singapore, we will take steps required by applicable law to ensure that it receives a standard of protection comparable to that provided under Singapore's Personal Data Protection Act 2012.

Data retention

We retain personal data only for as long as it is reasonably needed for the purposes for which it was collected, for legitimate business or legal purposes, or as required by law.

Retention periods may differ depending on the type of data, account activity, ongoing engagements, dispute-resolution needs and legal or regulatory requirements. When personal data is no longer required, we will delete it, anonymise it or remove the means by which it can be associated with an individual, where reasonably practicable.

Data security

We use reasonable administrative, technical and organisational measures designed to protect personal data against unauthorised access, collection, use, disclosure, copying, modification, loss or disposal.

No online service or method of electronic storage is completely secure. You are responsible for using a strong password, safeguarding your login details and notifying us promptly if you suspect unauthorised access to your account.

Cookies and similar technologies

LocumHere may use cookies and similar technologies to keep you signed in, remember preferences, maintain security, understand platform performance and improve user experience.

You can control certain cookies through your browser settings. Disabling essential cookies may prevent parts of the platform from functioning correctly. Where required, we will request consent before using non-essential cookies.

Your choices and requests

Subject to applicable law, you may request access to personal data that we hold about you, information about how it has been used or disclosed, or correction of inaccurate or incomplete personal data.

You may also withdraw consent to our collection, use or disclosure of personal data by contacting us. Please note that withdrawal does not affect processing that has already taken place. Depending on what consent is withdrawn, we may be unable to continue providing some or all platform features to you.

We may need to verify your identity before completing a request. Applicable law may permit or require us to refuse a request in certain circumstances, and reasonable fees may apply to an access request where permitted. We will inform you where this is the case.

You can update certain account or profile information directly through your account settings where that feature is available.

Minors

LocumHere is intended for healthcare professionals and authorised representatives of healthcare organisations who are at least 18 years old. We do not knowingly offer accounts to children under 18. If you believe that a child has provided personal data to us, please contact us so that we can review and take appropriate action.

Changes to this policy

We may update this Privacy Policy to reflect changes to the platform, our practices or applicable requirements. The updated version will be published on this page with a revised effective date.

Where a change is material, we may also provide notice through the platform or by email. We encourage you to review this policy periodically.
